Great Falls College MSU is seeking a Coordinator of Patient Clinical/Administration of the GFC MSU Onsite Dental Clinic to join the team in our Dental Programs.

Position Details

General Statement

This position performs patient and clinic-related duties and responsibilities along with student and program support for the Dental Hygiene and Dental Assisting Programs. This position also assists with administrative duties in the Trades Division.

Duties and Responsibilities

• Patient Record Management
• Scheduling of patients for dental treatment
• Collecting fees for dental service
• Generating daily production reports
• Preparing funds for deposit
• Maintenance of office and dental equipment
• Maintenance of a dental supply inventory system for patient treatment and student instruction
• Serving as a liaison and resource for students
• Scheduling student appointments with faculty
• Attend faculty and student meetings to facilitate the taking of minutes
• Provide administrative support for the Dental Programs faculty and for accreditation (CODA) requirements
• Provide support for Trades Programs in all administrative aspects

Required Qualifications – Experience, Education, Knowledge & Skills

• Work experience that demonstrates evidence of strong public relations and communication skills, both verbal and written;
• Two years’ experience or equivalent combination of education and directly related experience as an administrative assistant;
• Excellent time management and organizational skills and ability to manage multiple tasks with repeated interruptions;
• Experience maintaining schedules and organizing meetings;
• Effective customer service experience;
• Effective written, verbal, and interpersonal communication skills and ability to deal effectively with a variety of students, faculty, staff, and general public;
• Proficiency in data entry, database management, spreadsheets, financial records and word processing with attention to detail;
• Working knowledge of Microsoft Office, Excel and Outlook;
• Ability to organize and maintain filing systems; and
• Maintain current CPR certification.

Preferred Qualifications – Experience, Education, Knowledge & Skills

• Associate Degree or certificate in a related field;
• Experience in a Dental office setting and working knowledge of patient privacy requirements (HIPAA);
• Understanding of dental terminology to aid in ordering supplies and scribing meeting minutes.
• Experience with EagleSoft or other patient management software; and
• Familiarity of higher education environment including FERPA requirements.

Occasionally the schedule requires 7am start times on Clinic days (about twice per week).
