Brief Position Overview

The Human Resources & Records Assistant will report to the Chief Student Affairs & Human Resources Officer and will provide general administrative support for Human Resources and the Registrar, and assist with other functions of the offices.

Position Details

General Statement

This position is expected to answer general questions via phone, email, and face-to-face. The successful candidate will be detail-oriented, flexible, organized, self-motivated, and will manage multiple tasks at the same time with repeated interruptions.

Duties and Responsibilities

• First point of contact for the Human Resources Office;
• Screen and schedule appointments for the Human Resources Office;
• Assist with the hiring process including reviewing applicant information, and assisting internal and external customers concerning position vacancies;
• Provide clerical support for the Human Resources and Registrar’s Office including copies, printing, mailings, data entry, and generating correspondence in addition to opening, screening, and forwarding mail as appropriate;
• Organize and maintain filing system including records management;
• Maintain confidential materials using independent discretion and judgment; and
• Assist with special projects and other duties as assigned.

Required Qualifications – Experience, Education, Knowledge & Skills

• Associate’s Degree or certificate in a related field and progressive office experience OR an equivalent combination of relevant education and experience required;
• At least one year of demonstrated Human Resources knowledge and experience
• Excellent time management and organizational skills and ability to manage multiple tasks with repeated interruptions;
• Experience maintaining schedules and organizing meetings;
• At least three years of effective customer service experience;
• Effective written, verbal, and interpersonal communication skills and ability to deal effectively with a variety of students, faculty, staff, and general public;
• Ability to maintain confidentiality of personnel and student records and information
• Proficiency in data entry, database management, spreadsheets, and word processing with attention to detail;
• Computer Proficiency and working knowledge of Microsoft Office, Excel, Access, and Outlook; and
• Ability to organize and maintain filing systems.

Preferred Qualifications – Experience, Education, Knowledge & Skills

• Experience with Banner;
• Familiarity of higher education environment, including FERPA requirements;
PHR and/or SHRM-CP or higher certification in HR field

Special Requirements

This position is part-time 30 hours per week. The schedule will be 6 hours per day, Monday through Friday.
