Brief Position Overview

The Exam Proctor serves as an examination proctor for face-to-face, online and hybrid (mixed-mode) courses at the College, provides administrative support for the testing center and will report to the Testing Services Coordinator. This is a 19 hour per week position.

Position Details

General Statement

This position serves as an examination proctor and provides administrative support and assistance for the Testing Services Coordinator for all campus testing services including: placement testing, online, face-to-face, disability services, professional certification testing and other external community testing needs. Works closely with faculty, students, Student Central Staff, Disabilities Services Office, etc. to incorporate customer need and stakeholder preference for exam distribution and scheduling.

Staffs the Testing Center during a variety of scheduled hours. Some evening and weekend duties required.

Comprehensive knowledge of customer service principles- especially as manifested in an academic setting. Answers questions from faculty, students, administration and other staff.

May be responsible for exercising independent judgment in responding to faculty and student inquiries or complaints and providing policy clarification and answers policy or procedure related questions.

Duties and Responsibilities

Schedules appointments and answers inquiries received in-person, electronically and/or by phone;
Proctors tests as needed for all testing center services;
Provides administrative support and assistance for the Testing Services Coordinator;
Receives customers checking in for appointments, instructs customers in appropriate policies and procedures and is responsible for ensuring compliance with test taking regulations;
Guarantees strict compliance with agency regulations regarding secure handling of test site information and access;
Observes the testing lab, and appropriate conduct of customers, whenever tests are in progress;
Ensures all tests are properly submitted to faculty of record for scoring and that all policy and procedure in this regard is appropriately undertaken.

Required Qualifications – Experience, Education, Knowledge & Skills

Excellent customer service skills including demonstrated skills in working effectively with the public and a wide range of constituents;
Awareness of and sensitivity to cultural differences and diversity;
Knowledge of basic email and computer skills including Microsoft Office, Windows, Outlook, and basic internet searching; Exceptional written and verbal communication skills including telephone etiquette and interpersonal communication skills;
Ability to exercise sound judgment, to use initiative and to work with minimal supervision;
Must be detail-oriented and have the ability to multi-task;
Ability to maintain confidentiality;
Ability to work well under pressure with many interruptions and respond well to potential conflicts/crises;
Knowledge of organizational regulations and ability to interpret and convey policy and procedure ensuring compliance with campus and individual course testing requirements; and
Ability to work in a strictly regulated setting.

Physical Demands

This position is located indoors in a busy and often fast-paced environment. Walking, standing, sitting, stooping, reaching, and occasional light lifting required. Need the ability to work for long periods of time in an open space with many interruptions. Extensive computer use.
